How to Design a Notification Email with AI
Shipduo lets you fully customize your tracking notification emails with HTML. That means you don't need a designer — you can ask any AI model (ChatGPT, Claude, Gemini, etc.) to generate the email HTML for you, paste it into Shipduo, and drop in dynamic fields that fill in real shipment data automatically.
This article shows you how.
The Idea
- Ask an AI to write the HTML for your email.
- Paste that HTML into Shipduo's notification editor.
- Insert dynamic fields so each email is personalized with real data (customer name, tracking number, carrier, etc.).
- Preview, test, and save.
Step 1: Open the Notification Editor
- From the left menu, go to Tracking → Notifications.
- Find the notification you want to customize (Info received, In transit, Delivered, etc.).
- Click the edit (pencil) icon to open the editor.
Step 2: Generate Your HTML with AI
Open ChatGPT, Claude, or any AI model and ask it to write the email HTML. To make the result drop straight into Shipduo, tell the AI to use your dynamic field names as placeholders.
Here's a prompt you can copy and adjust:
Write a clean, responsive HTML email for a shipping "In Transit" notification. Make it mobile-friendly with a simple modern layout. Use these exact placeholders where relevant and leave them unchanged:
{customer_name},{carrier_name},{tracking_number},{estimated_delivery_day}, and{tracking_button}. Return only the HTML.
The AI will return a block of HTML you can copy.
💡 Tip: Ask the AI to match your brand colors and add your logo URL, and you'll get an on-brand email in seconds.
Step 3: Paste the HTML into Shipduo
- In the editor, switch the toggle from Visual to HTML.
- Paste the AI-generated HTML into the Description box.
Step 4: Add Dynamic Fields
Dynamic fields are the variables shown under Suggestions at the top of the editor. When the email is sent, each one is automatically replaced with that shipment's real data.
To insert one, place your cursor where you want it and click the variable chip — it drops in at your cursor.
Available fields include:
{customer_name}{customer_company_name}{carrier_name}{tracking_number}{po_number}{origin_address}{destination_address}{pickup_date}{estimated_delivery_day}{tracking_button}
💡 Tip: If your AI prompt already included these placeholders (Step 2), they're in the HTML — no need to add them again. Just confirm the spelling matches exactly, including the curly braces.
Step 5: Preview with Real Sample Data
Use the Live preview panel on the right to see exactly how your email will look. It renders with sample data, so the dynamic fields show realistic values instead of the placeholder names.
Step 6: Send a Test Email
- In the Send a test notification box, enter your email address.
- Click Send Test Email.
- Check your inbox to confirm the layout and data look right.
Step 7: Save
When you're happy with it, click Save Changes. Your customized email is now live for that notification type.
Troubleshooting
- A field shows as
{tracking_number}in the test email instead of a value? Check the spelling and curly braces match a supported field exactly. - Email looks broken? Some email clients are strict about HTML. Ask the AI to make the HTML "email-client compatible with inline styles," then paste again.
- Preview looks fine but the test email doesn't? Use the live preview and a test send together — the test email is the most accurate check.
